Privacy, images and copyright

The short version

We collect as little as we can. An email address if you subscribe. Your name and email if you send us an event. The question you type if you ask Evi. That is close to all of it.

There are no advertising cookies on this site, no analytics scripts following you around, and nothing is ever sold or handed to advertisers. If you want something removed, email hello@chaniaspotlight.com and it goes.

Who is responsible

Chania Spotlight is the data controller for everything described on this page. It is a trading name rather than a registered company at present, and it is run by one person rather than a team.

The quickest way to reach us about anything here is hello@chaniaspotlight.com. It reaches a person, not a queue. If you need the name of the individual responsible, whether to exercise a right or to make a complaint, ask at that address and we will give it to you.

What we collect, and why

Five things, and nothing beyond them:

• Newsletter: your email address, so we can send you what is on in Chania. Nothing else is asked for, and every issue carries an unsubscribe link.
• Events and listings you send us: your name, your email, whatever you type into the form, and a poster if you upload one. We use these to check the event is real and to come back to you if something does not add up.
• Ask Evi: the question you type and the answer you get are saved, so we can see what people are looking for and what the calendar is missing. Your name, your IP address and your identity are not saved with it.
• Partner accounts: if you have a login for the partner portal, your name and email address, handled by Clerk.
• Server logs: our host records standard technical information, including IP addresses, to keep the site running and to stop abuse. It is not used to build a picture of you.

What we never do

No advertising cookies. No analytics scripts. We do not sell, rent or trade personal information, we do not build advertising profiles, and we do not pass anything to data brokers.

Our fonts are served from our own domain rather than fetched from a third party, so simply reading a page does not report you to anyone.

Why we are allowed to hold it

Under UK and EU data protection law we rely on three grounds:

• Consent, for the newsletter. You gave it by subscribing and you can withdraw it at any time.
• Legitimate interests, for running and protecting the calendar: checking that submitted events are genuine, replying to you, and keeping the site secure.
• Contract, for partner accounts and any agreement we have with a listed business.

Who else handles it

We keep this list short on purpose. Each company is here because the site genuinely needs it, and each one only sees the part it needs.

• Vercel, which hosts the site and keeps the server logs.
• Sanity, our content system, which stores submitted events and the Ask Evi question log.
• Beehiiv, which runs the newsletter and holds subscriber email addresses.
• Clerk, which handles sign-in for the partner portal.
• Anthropic, which processes the text of an Ask Evi question in order to answer it. Under its API terms that text is not used to train its models.
• Resend, which sends transactional email such as contract notifications.
• Google Maps, which provides the map embedded on event pages. Loading one means Google sees your IP address and may set its own cookies.
• OpenFreeMap and OpenMapTiles, which serve the map tiles on our own map, using data from OpenStreetMap.

Where it goes

Several of those companies are based in the United States. Where that is the case, the transfer is covered by standard contractual clauses or an equivalent safeguard in that provider’s own terms.

If you would rather nothing of yours left Europe, simply read the site without subscribing or submitting. Everything published here is readable without giving us anything.

How long we keep it

We would rather delete things than store them:

• Newsletter subscriptions: until you unsubscribe, at which point your address is removed from Beehiiv.
• Event submissions: while the event is on the calendar. If we decline a submission, we clear it out along with anything you sent with it.
• Ask Evi logs: kept as ongoing research into what Chania is missing. They carry no name, account or IP address, so they are not linked to you.
• Server logs: retained by our host on its standard short schedule.

Your rights

You can ask us for a copy of what we hold about you, to correct it, to delete it, to receive it in a portable form, or to object to us holding it at all. You can withdraw consent to the newsletter whenever you like.

Email hello@chaniaspotlight.com and we will deal with it within one month. We will not put you through anything elaborate to prove who you are.

If we get it wrong, you can complain to the Information Commissioner’s Office in the UK at ico.org.uk, or to the Hellenic Data Protection Authority in Greece at dpa.gr.

Cookies

This site sets no advertising or analytics cookies, and there is no tracking pixel on it.

Two things can set a cookie. Our sign-in provider, Clerk, sets what it needs to keep a session working. The Google map embedded on event pages may set Google’s own cookies when it loads. That is the whole list.

Children

This is a guide to a place, not a service aimed at children, and we do not knowingly collect anything from under-16s. If you believe a child has sent us something, email us and we will delete it.

Images, posters and copyright

Everything we write and make here is ours: the words, the guides, the event write-ups, the brand and the design of this site. Please do not republish it wholesale. Quoting a line with a link back is welcome and always will be.

Event posters and promotional images belong to the organisers who made them. We publish them for exactly the purpose they were made and circulated for, which is telling people the event is happening. We publish a poster when the organiser has given it to us, or has published it publicly to promote that event.

We do not publish press photography, agency images or other people’s photography that we have no right to use. If you upload a poster through the submit form, please only upload one you made or have permission to share.

Map data on this site is © OpenStreetMap contributors, served through OpenFreeMap and OpenMapTiles.

Getting an image taken down

If you hold rights in any image or text on this site and you want it gone, email hello@chaniaspotlight.com with the address of the page and which image you mean.

We take it down, and we do not argue about it. You do not need a lawyer, a formal notice, or a reason. This is deliberately the easiest possible route, because we would rather lose an image than be a problem for someone whose work we admire.

Changes to this page

If any of this changes we update the date at the top. If a change actually matters to you, we will say so in the newsletter rather than quietly editing the page.
